Primary Duties (actual regular duties performed and their frequency):

  1. Be prepared to act in place of the President in performing any of the presidential duties in case of his/her inability to do so.  This can include presiding over Board Meetings, presiding over General Meetings, writing a column for the TBCS magazine, appointing committee chairpersons and others, appointing temporary committees, attending various user group activities, etc.
  2. Prepare an Activity Report of all major activities undertaken to fulfill the Vice Presidential duties.  This is done monthly, for submission at Board Meetings.  All other Board Members are expected to prepare similar reports of their activities.  This ensures that all TBCS activities get into the written record and reduces the necessity for lengthy discussions.
  3. Organize a quality presentation for the TBCS General Meetings each month.  Presentations during the year should be an even mix of national and local / large and small vendors.  Consideration should also be given to gearing some presentations to beginning users and others to more advanced users.  Vendors should demonstrate products that will be of interest to the majority of TBCS members.  Continually solicit ideas for vendor presentations from other Board members and from all TBCS members.
  4. Make all arrangements with vendors for General Meeting presentations.  This includes scheduling them many months in advance and following up many times as the meeting approaches.  Ensure that any promotional material gets to the Editor for publication.
  5. Make any guest presenters feel welcome.  This can include meeting with them for drinks or dinner and driving them to the meeting.  At least make sure that they have good directions to the meeting if they have their own transportation, and inform them of good hotels and restaurants in the area
  6. Assist vendors with equipment setup at the General Meetings.  Make sure they know where to set up, and that extension cords are available.  Know in advance if vendors will be bringing their own audiovisual equipment or if they will need to use ours.  Make sure that all equipment is set up and working properly in either case
  7. Make sure all microphone equipment is set up and working properly at each General Meeting.  A clip microphone would be a valuable purchase to assist presenting vendors.
  8. Make sure that vendors know the size of attendance at TBCS meetings in advance so that they are sure to bring the proper number of raffle prizes.  Also encourage them to make a special offer to TBCS members with heavy discounts on selected products.
  9. Coordinate with as many vendors as possible for them to have mailings to their local registered product users about the TBCS meeting.  This will increase meeting attendance and help to build TBCS membership.

Special Activities (any additional duties or jobs performed and their frequency):

  1. Continually review and update your Job Description and Procedures to keep the TBCS Procedures Manual up-to-date and complete.  This is done on an ongoing basis, as required.
  2. Maintain a list of vendor contacts for General Meeting presentations.  This is updated as required.
  3. Follow these rules regarding vendor contacts: 
    bullet the TBCS office address is to be used for all vendor correspondence and shipments, not a home address,
    bullet all donated products must go to the purpose which the vendor intended, whether for product review, resource center use, or as raffle prizes.
  4. Any correspondence or other papers related to TBCS business must be filed in the TBCS office after use of these materials is completed.  This includes correspondence with members and vendors, and is done on a continual basis.
  5. Observe the highest standards of ethical conduct.  All Board Members are representatives of TBCS and set the example for others.  Avoid any potential conflicts of interest or even the appearance of same.  As an agent of TBCS, you are not acting on your own behalf, but on behalf of TBCS.
