Primary Duties (actual regular duties performed and their frequency):
- Prepare
a complete and detailed report of TBCS membership. This is done monthly, for submission at Board Meetings.
The report should include the regular and associate member totals
from the previous month, counts of this month’s non-renewed regular and
associate members, counts of this month’s new regular and associate
members, and final counts of the total current regular and associate members
which should balance out to the previous numbers.
- Print
labels and mail reminder cards to members who have not renewed by the end of
each month. This can also be
done by the Secretary.
- Make
phone calls to members who have not renewed (if they don’t respond to the
reminder cards) to determine the reasons for their dissatisfaction with
TBCS. Present this information
to the Board for consideration in making improvements. This should be done each month.
- Make
periodic mailings to former TBCS members who have not renewed for 6 months
or more. The mailings should
list some exciting things TBCS has done in recent months, and encourage the
former members to rejoin. This
effort could be done semi-annually.
- Chair
the Membership Retention committee. This
is ongoing. The Membership
Retention Coordinator is not required to personally attend to each of the
duties assigned, but can recruit volunteers to assist in the effort and be
delegated various tasks.
- Prepare
an Activity Report of all major activities undertaken to fulfill the duties
of Membership Retention coordination. This
is done monthly, for submission at Board Meetings. All other Board Members are expected to prepare similar
reports of their activities. This
makes sure that all TBCS activities get into the written record and reduces
the necessity for lengthy discussions.
Special Activities (any additional duties or jobs performed and
their frequency):
- Update
the Job Description and Procedures for Membership Retention Coordinator to
keep the TBCS Procedures Manual as up-to-date and complete as possible.
This is done on an ongoing basis, as required.
