Primary Duties (actual regular duties performed and their frequency):

  1. Chair the Newsletter committee.  This is ongoing.  The Newsletter committee should consist of the Editor, the Product Review Coordinator, the Advertising Manager, and any other volunteers recruited to assist in the effort and be delegated various tasks.  The committee should meet monthly to discuss each TBCS magazine and coordinate future efforts.
  2. Oversee the determination of TBCS magazine content.  There should be a nice 3-way balance between commentaries on TBCS matters, product review articles, and informational/technical articles.  If there are not enough TBCS-written informational/technical articles or product review articles for a particular issue, it can be supplemented with articles from other user groups.  The quality and quantity of material is more important to TBCS members than the source.
  3. Oversee the determination of the TBCS magazine format.  This would include the basics of size and grade of paper used, number of pages, and ink color.  It should also include decisions on the general order that material should be printed in, type size, use of graphics and photographs, and the overall look and esthetics of the magazine.  The magazine should vary between 32 and 40 pages based on the level of advertising.
  4. Oversee the printing and mailing costs of the magazine.  Be alert to changes in the printing and mailing marketplace and investigate options with different printers or types of printing, as well as any label changes that may reduce mailing costs.  This is ongoing.
  5. Pursue efforts to take advantage of electronic formats to distribute information to TBCS members.  Upload each month’s magazine articles to the TBCS BBS as text files.  Investigate the possibility of putting the magazine in PDF format for this purpose.  Consider making some content available on the TBCS Web Page.
  6. Prepare an Activity Report of all major activities undertaken to fulfill the duties of Newsletter coordination.  This is done monthly, for submission at Board Meetings.  All other Board Members are expected to prepare similar reports of their activities.  This makes sure that all TBCS activities get into the written record and reduces the necessity for lengthy discussions.

Special Activities (any additional duties or jobs performed and their frequency):

  1. Update the Job Description and Procedures for Newsletter Coordinator to keep the TBCS Procedures Manual as up-to-date and complete as possible.  This is done on an ongoing basis, as required.
