Tampa Bay Computer Society Job Description

Primary Duties (actual regular duties performed and their frequency):

  1. Participate in responsibly managing the various operations of the Tampa Bay Computer Society in accordance with the guidelines and procedures indicated in the TBCS By-Laws and Articles of Incorporation.
  2. Attend all Board Meetings - be on time and prepared to stay at least 2 hours.  Four unexcused absences during a year is grounds for removal from the Board.
  3. Follow along on the agenda prepared by the Chair at Board Meetings, and be prepared to give your report and address any items listed under your responsibility.
  4. All Officers have specific assigned duties and all Directors chair committees with specific duties.  Complete all regular duties each month, and also maintain a list of projects for improving your area of TBCS to work on as time allows.  Recruit TBCS members as volunteers or to serve on committees in order to complete duties and pursue projects.
  5. Prepare an Activity Report of all major activities undertaken to fulfill your duties each month, for submission at the Board Meeting.  All other Board Members are expected to prepare similar reports of their activities.  This ensures that all TBCS activities get into the written record and reduces the necessity for lengthy discussions.
  6. Bring something to contribute at each Board Meeting.  If you aren't prepared to contribute something specific, you shouldn't be an Officer or Director.
  7. If you were appointed or volunteered to do something specific at a previous Board Meeting, be prepared to use some of your time to voluntarily follow-up with a report on your progress.  Don't wait for someone else to ask about it or bring it up.
  8. If you are unable to attend a specific Board Meeting, submit your Activity Report in advance, and brief another member of the Board to report on your behalf.
  9. Be prepared to serve on various temporary committees that need to be appointed throughout the year.  Examples are the swap meet committee, the nominating committee, and the audit committee.
  10. Follow all of the rules adopted by the Board in August 1996 to govern its conduct (rules attached).
  11. Observe common rules of courtesy at all times.  Allow everyone who has been recognized to speak at a Board Meeting to finish their comments uninterrupted.  Wait until your are recognized by the Chair to speak.
  12. Set specific goals for whatever you do in the organization and continually review your progress.  You can't achieve if you don't know what you're aiming at.

Note:  All of the above responsibilities will normally be applied on a monthly basis, in preparation for, or in attendance at, the Board Of Directors Meetings.

Special Activities (any additional duties or jobs performed and their frequency):

  1. Be alert to any changes in your responsibilities or new procedures you may follow in the completion of your duties.  Update the Job Description and Procedures for your role in TBCS to keep the TBCS Procedures Manual up-to-date and complete.  This is done on an ongoing basis, as required.
  2. If you are leaving a volunteer or appointed position or as an Officer or Director, spend some time with your successor to be sure they understand what the duties and procedures are, and so that they can benefit from your experience.
  3. Be very familiar with the TBCS By-Laws and Articles of Incorporation.  Help to ensure on an ongoing basis that TBCS business is conducted in accordance with the guidelines and procedures indicated therein, and be able to explain the document articles to others.
  4. Be very familiar with the 10 Reasons To Belong To The Tampa Bay Computer Society that TBCS uses in promotional materials (copy attached).  Know the current SIG offerings, beginner sessions, resource center hours, BBS features, etc.  Board Members are continually called upon to emphasize membership benefits to both current and prospective members.
  5. Try to attend some user group activities as a representative of TBCS.  These may include APCUG meetings at either Spring or Fall Comdex or FACUG meetings in the Winter or Summer.  Network with other user group leaders in search of ideas for improving TBCS.
  6. Any correspondence or other papers related to TBCS business must be filed in the TBCS office after use of these materials is completed.  This includes correspondence with members and vendors, and is done on a continual basis.
  7. Observe the highest standards of ethical conduct.  All Officers and Directors are representatives of TBCS and set the example for others.  Avoid any potential conflicts of interest or even the appearance of same.  As an agent of TBCS, you are not acting on your own behalf, but on behalf of TBCS.
  8. Get to know as many different TBCS members as possible.  There will be more participation from members if they get to know TBCS leaders personally.  This will also help toward keeping in touch with the changing needs of the membership.
  9. Always be cheerful, courteous, and attentive to TBCS members.  Answer all inquiries that come your way to the best of your ability, or at least direct the questioner to another person in the organization who can help them.
