Primary Duties (actual regular duties performed and their frequency):

  1. Chair the BBS committee.  This is ongoing.  The BBS committee should consist of all BBS Sysops and any other volunteers recruited to assist in the effort and be delegated various tasks.  The committee should meet at least quarterly to discuss BBS services and coordinate future efforts.
  2. Prepare a BBS Usage Report which summarizes the key statistics of TBCS use of the BBS.  This is done monthly, for submission at Board Meetings.  The report should not be a printout from the BBS, but instead a one page summary of the most important figures.  It should include the current number of members on the user list, the average number of calls per day, the average number of minutes per call, the average total usage time per day, the average daily percentage of activity on each phone line, the average number of file downloads per day, and related figures.  There should be comparatives for each of these numbers from an earlier period so that trends can be spotted.  Attempts should also be made to generate some statistics on message downloads and fidonet usage.
  3. Promote the BBS to TBCS members.  Make sure that instructions for use are readily available and that services and benefits available on the BBS are continually being communicated.  This is ongoing.  It might be beneficial to print a list of current BBS file areas and message conferences in each month’s TBCS magazine.
  4. Arrange a repeating BBS SIG or class where members are introduced to the BBS menus, file searches and downloads, mail readers, local and fidonet message areas, and message downloads and uploads.
  5. Ensure that TBCS information on the BBS is kept up-to-date.  This is ongoing, and can include such things as the activity calendar and the board contact list.
  6. Make sure that there are enough volunteer BBS Sysops with adequate training to maintain BBS capabilities and availability as close as possible to 24 hours a day, 7 days a week.
  7. Pursue efforts to add new capabilities and features to the BBS.  Investigate software add-ons such as QSO updates, TDBS, etc. that add new functionality for members.  This is ongoing.
  8. Make recommendations to the Board of Directors on any new software or hardware which may need to be purchased to maintain or improve BBS service.  This is ongoing.
  9. Investigate the possibility and requirements for allowing BBS access from the Internet.
  10. Ensure the viability of the BBS location, and if needs change, make a recommendation to the Board of Directors.
  11. Ensure that all Board Members are fully trained on BBS use and access it on a fairly regular basis.  This is ongoing.
  12. Prepare an Activity Report of all major activities undertaken to fulfill the duties of BBS coordination.  This is done monthly, for submission at Board Meetings.  All other Board Members are expected to prepare similar reports of their activities.  This makes sure that all TBCS activities get into the written record and reduces the necessity for lengthy discussions.

Special Activities (any additional duties or jobs performed and their frequency):

  1. Update the Job Description and Procedures for BBS Coordinator and also BBS Sysop to keep the TBCS Procedures Manual as up-to-date and complete as possible.  This is done on an ongoing basis, as required.
